# Booking and managing appointments

This guide covers the day-to-day mechanics of the calendar: how availability is calculated, how to book against a resource or chair, how reminders go out, and how to block time that isn't a patient appointment.

## Book an appointment

From the calendar, create an appointment against a patient, a resource (a chair, in a dental practice) and a time slot. Only slots that fit the service's duration and don't conflict with an existing booking are offered, so double-booking a resource isn't possible from the calendar itself.

## Why a slot is or isn't available

Available slots come from three settings: your practice's working hours, the calendar slot interval, and the duration of the service being booked. If a time you expect to see is missing, check those three first — the same calculation also drives the public booking page, so the two never disagree.

## Reschedule or cancel

An existing appointment can be moved to a different time or resource, or cancelled outright, from the calendar. Moving an appointment re-runs the same availability check, so it can't land on a conflict either.

## Block time that isn't a booking

Alongside appointments, the calendar supports unavailable blocks — for time off, admin work or a lunch break — and reminder events. Both show up on the same calendar and are respected by the availability calculation, so staff never get double-booked into blocked time.

## Reminders and notes

Once booked, a reminder can go out to the patient by SMS or email ahead of the appointment, with a calendar invite attached; the lead time is set once per practice in Settings. Each appointment also carries its own notes field, visible alongside the patient's record.

### Which kinds of practice is HyperCRM for?

HyperCRM suits appointment-based practices that keep clinical records: dental, medical, surgical, physiotherapy and aesthetic clinics. They all run the same system, using the words their own field uses — and dental practices additionally start from a service catalogue that is already filled in.

### How much does HyperCRM cost?

HyperCRM is paid software. Every practice starts with a 30-day free trial of the full Complete plan, with no card required. After that, plans start at €19 and €29 a month excluding VAT, banded by how many practitioners you have. Every price is printed on the pricing page rather than quoted on a call.

### Why does an appointment time I expect not show as available?

Availability comes from your working hours, calendar slot interval and the service's duration, checked against existing bookings on that resource. If a time is missing, check those settings first — the same calculation is used everywhere, so a fix in Settings applies immediately.

### Can I move an appointment to a different resource or chair?

Yes. Rescheduling an appointment lets you change its time, its resource or both, and the move is checked against availability the same way a new booking would be, so it cannot be rescheduled into a conflict with another appointment.
