An AI receptionist that answers and books by phone

Forward your practice's phone to HyperCRM and an AI assistant answers the calls you miss. It books patients into your real free times, in Greek or English. You keep your own number, and every call shows up in the app.

What it does on a call

The assistant works from your own catalogue and calendar, with the same rules as your online booking page.

Says it is an AI

Every call opens with your practice's name and a clear line that the caller is talking to a digital assistant, not a person.

Finds a real free time

It knows your services, how long each takes and who is free. It offers two or three times at once, only ones that are actually open. If you have more than one location, it first asks which one the caller wants, and names it when reading the booking back.

Books it

It asks for the caller's name and takes their phone number from the call. It asks for a number only if it is hidden. It reads back the name, service, day and time, and books once the caller says yes. Bookings arrive as requests for you to accept, or as confirmed if you choose. With a request, the caller is told the practice will contact them to confirm. The practice can call them back on the number they called from, or the one they gave, and the time is held for them, as with online booking.

Understands what callers mean

A caller who asks for a cleaning or a whitening gets the right service, even when your service names are in another language.

Puts the caller through

If you turn it on, a caller who asks for a person, or needs something the assistant must not handle, is passed to a landline or mobile you choose.

Knows your returning patients

When a caller's number matches a patient, the booking goes on that patient's record instead of creating a new one.

Watch: The phone assistant

Answers the calls you miss, and books them.

How it works

  1. Request access. On the Complete plan, open Settings, then Phone assistant, and request access. We approve each practice by hand.
  2. Confirm your number. Enter the practice's landline or mobile. We call it and read you a short code to type in.
  3. Forward your calls. Dial the code the app shows you: when nobody answers, when the line is busy, or always. Nothing changes for your patients, they call the number they already know.
  4. See every call. The call log shows when each call came in, what happened, how long it lasted and what it cost, with a link to any booking.

What it will not do

The assistant books appointments and answers questions about your services. It does not give medical advice. A caller with an emergency is told to hang up and call the emergency services. It does not take messages, and it never tells a caller whether someone is your patient. When it cannot help, it says the practice will call back, or puts the caller through if you allow it.

Your patients' privacy

Calls are not recorded and no transcript is kept. After each call you can get a short summary of what happened. It is kept for 90 days, and you can switch summaries off. Notifications only tell you that something needs your attention, never what the caller said.

Languages

The assistant answers in your practice's language, Greek or English, and switches when a caller clearly speaks another one.

What it costs

The phone assistant is on the Complete plan. Each minute it answers uses 2 credits (€0.18), and each minute of a call it has passed to you uses 1.2 credits (about €0.11). There is no setup fee and no paperwork, and you never pay for calls it does not answer.

Related features

Online booking

The phone assistant offers the same services and free times as your booking page. Only what you mark public is offered on either.

Scheduling

Phone bookings land on your calendar next to everything else, as requests you accept with one click or as confirmed appointments.

Reminders

A patient booked by phone gets the same reminders as anyone else, by email or text message, once someone at the practice has checked and saved their details.

Common questions

HyperCRM is paid software. Every practice starts with a 30-day free trial of the Complete plan, with no card needed. After that, Essential starts at €19 a month and Complete at €34, VAT included. The price depends on how many practitioners you have. Every price is on the pricing page, so you never need a sales call.

Patient records are encrypted, both where they are stored and on their way to your screen. Files are private, and a link to one stops working after a short time. Changes to patient records are recorded, with who made them and when. There is no shared practice password: everyone has their own account. On the Complete plan, the practice owner can also require two-step sign-in for the whole team.

No. You keep the number your patients already know and forward it to HyperCRM with a code from your phone. You choose when calls go to the assistant: when nobody answers, when the line is busy, or always.

Each practice is set up on a phone number we provide, and we may need to buy more of them as practices join. We approve requests by hand so every practice that starts has a working line.

It says so plainly and tells the caller the practice will call back. If you turn on transfers, it can put the caller through to a phone you choose instead.
