Reminders that go out before you have to think about it
HyperCRM can send appointment reminders by SMS and email on a schedule you set — and sends the calendar invite the moment the appointment is booked, so it lands in the patient's own calendar while there is still time for it to be useful.
Related features
Scheduling
Reminders are generated from appointments already on the calendar.
Online booking
Patients who book themselves in are reminded the same way as staff-booked patients.
Patient records
Per-patient notification preferences decide which channel a reminder actually uses.
Watch: Online booking and reminders
Appointments that book and remind themselves.
Two channels, both opt-in
Reminders go out by email, by SMS, or both — you switch on the channels you want in your practice's settings, and a channel you have not set up is skipped rather than quietly breaking the ones you have. Email is unlimited and free on every plan; SMS is paid for from your credit balance, because each message costs us money to send.
Timed to your lead time, not a fixed default
You set the lead time in your practice's settings and reminders go out on it automatically, without anyone remembering to send them — hours before a same-day slot, or days before a booking made weeks ago. Nobody on your team has a recurring task for this.
The invite arrives with the booking, not the reminder
The moment an appointment is booked — or an online request accepted — the patient gets a confirmation email carrying a standard .ics invitation, so it drops straight into their own calendar app. Move the appointment and their entry moves with it; cancel it and the entry disappears. An invitation attached to a reminder an hour before the appointment is an invitation to something already starting, which is why it is sent when the booking is made instead.
Where SMS reaches
SMS delivery is limited by destination: we can text patients in 75 destinations, covering the whole of the EU and EEA, the UK, Switzerland and the Balkans, Türkiye, Ukraine and the Caucasus, the Gulf and Israel, and the major markets across Asia-Pacific and the Americas. The full list is shown in the app wherever SMS is switched on. Email reminders have no such limit — they reach anywhere, and they are free and unmetered on every plan.
Respecting how a patient wants to be reached
Reminders read each patient's own notification preferences for email and SMS, so a patient who opted out of one channel is not messaged on it regardless of what the practice has switched on overall.
Common questions
HyperCRM is paid software. Every practice starts with a 30-day free trial of the full Complete plan, with no card required. After that, plans start at €19 and €29 a month excluding VAT, banded by how many practitioners you have. Every price is printed on the pricing page rather than quoted on a call.
Patient records are encrypted in transit and at rest, files are stored privately and served through short-lived signed links, and every change is written to an audit log. Staff accounts sign in with passkeys rather than shared passwords.
Yes. You enable email, SMS, or both in your practice's settings, and a channel you have not turned on is skipped rather than throwing an error — so a half-configured reminder never blocks the rest of the appointment from working.
On a lead time set in your practice's settings. A scheduled job checks upcoming appointments against that lead time and sends reminders accordingly, so a same-day booking and a booking made weeks out can be reminded on different, practice-chosen schedules.
