From a blank practice to a booked appointment

This is the order that gets a new HyperCRM practice from nothing to useful: sign in, fill in the practice profile, set working hours, add a service, invite anyone else who needs access, add a patient, then book an appointment against it.

1. Sign in

HyperCRM accounts sign in with a passkey rather than a shared password. The first person to sign in becomes the practice owner, with the ability to invite other staff later.

2. Fill in the practice profile

In Settings, set your practice name, address, contact details and locale — country and currency. This information is what shows up on invoices and public-facing pages, so it is worth getting right before patients see it.

3. Set working hours and the calendar slot interval

Still in Settings, set your opening hours and how the calendar divides the day into bookable slots. Every availability calculation — internal booking and the public booking page alike — reads from these two settings, so nothing books correctly until they are set.

4. Add at least one service

A service in the catalogue carries a price, a duration and a flag for whether it is publicly bookable. Appointment duration comes from the service, so the slot calculation needs at least one service to work against.

5. Invite the rest of the practice

The owner can invite additional staff by email; the invitation link expires after three days and only accepts sign-in from the matching verified email address. Invited staff get an assistant role under the practice, distinct from the owner.

6. Add a patient and book an appointment

Create a patient record with their contact details, then book an appointment against it from the calendar. From here, patient records, appointments and forms cover each area in more depth.

The first-week setup, in order

The same sequence as above, as a checklist for your first week.

  1. Create the practice

    Sign in with a passkey and fill in the practice profile — name, address, contact details and locale.

  2. Invite staff

    Invite the rest of the practice by email; each invitation is a link that expires after three days and gives an assistant role.

  3. Set working hours

    Set your opening hours and the calendar slot interval — every availability calculation reads from these two settings.

  4. Build the service catalogue

    Add at least one service, with a price, a duration and whether it is publicly bookable, since appointment duration comes from the service.

  5. Take the first booking

    Add a patient record and book an appointment against it from the calendar.
